The Event Coordinator is a contract position and will be responsible for coordinating and managing the logistics of planning and delivering up to 18 workshops, and be the main contact for participant registration and communication.

The Alberta Association of Municipal Districts and Counties (AAMDC) represents Alberta’s 69 rural municipal governments. The AAMDC’s mission is to empower its membership through proactive leadership, strategic partnership, effective advocacy and collective business services.

The Alberta Urban Municipalities Association (AUMA) represents 269 urban municipalities including cities, towns, villages, summer villages, and specialized municipalities. AUMA works with federal and provincial governments and business and community stakeholders on a broad range of issues to strengthen the economic, social, cultural, and environmental vitality of member municipalities.

Infrastructure and Asset Management Alberta (IAMA) was formed in 2011 as a community of practice with the objective of sharing knowledge and best practices in asset management and tangible capital assets (TCA). During its six years of activity, IAMA has been involved with the different communities of practice (CoPs) in Canada, sharing asset management best practices, building awareness, and promoting asset management training and events.

 

The Position

As part of the 2016 federal budget, the Government of Canada tasked the Federation of Canadian Municipalities (FCM) to administer the $50 million Municipal Asset Management Fund (MAMP). The purpose of MAMP is to help Canadian municipalities make informed infrastructure investment decisions based on sound asset management practices.

FCM has divided MAMP into several components. One component provided funding for “awareness building and basic technical assistance.” Through this component, organizations were invited to apply for funding to develop and deliver asset management capacity-building training to smaller/low-capacity municipalities at a regional level. AAMDC, AUMA, and IAMA made a joint submission to develop capacity-building training workshops geared towards elected officials and municipal staff from small and rural municipalities likely to be involved in asset management strategic planning and/or implementation. The submission was successful.

The Event Coordinator is a contract position and will be responsible for coordinating and managing the logistics of planning and delivering up to 18 workshops, and be the main contact for participant registration and communication. The right person for the job is friendly, organized and possesses a high degree of independence and ability to work with minimal supervision. The Event Coordinator is expected to attend all workshops that will be held across Alberta between March and June of 2018. The position will be expected to work from home and to be available for in-person meetings at the AAMDC office in Nisku, AB. The Event Coordinator must possess a high degree of communication skills and professionalism, as they will represent all three organizations throughout the duration of the contract.

 

Roles and Responsibilities

The key responsibilities for this position are as follows:

  • Develop a detailed workshop schedule and oversee all aspects of workshop organization.
  • Book venues, ensure that necessary supplies are available and organize refreshments.
  • Manage participant registration, communication and inquires.
  • Participate in project planning meetings.
  • Must be available to attend all workshops in March-June (dates TBD) across Alberta (approximately 5 one-day workshops, 5 half-day workshops, and 5-8 two-day workshops).
  • Other duties as assigned.

 

Qualifications and Skills

  • Post-secondary education in a relevant field (e.g. event planning) or a combination of education and experience that meets to needs of the roles and responsibilities listed above.
  • Demonstrated ability to plan and organize workshops and/or other events.
  • Excellent written and oral communication skills, organizational and planning skills.
  • Must have access to a reliable vehicle.
  • High proficiency in MS Word, MS Excel, PowerPoint, Outlook and Adobe Acrobat is essential.
  • Familiarity with CVent is an asset.
  • Personable and able to build and maintain professional relationships.
  • Able to work in a team environment including keeping others appropriately informed.
  • Expects the highest quality performance from self.
  • Able to work with minimal supervision, self-motivated and self-directed.
  • Experience working with municipalities is an asset.

 

Compensation

  • As full compensation for all services provided, the contractor shall be paid at a standard rate of $40/hour, regardless of when they incur it (i.e. no over-time can be incurred).
  • Hours of work will be 40 hours/week and any hours worked over the 40 hours will need to be approved prior to by the Project Manager.
  • All travel expenses incurred will be reimbursed as per relevant policies.

 

Work Location

  • Work from home/remotely.
  • As necessary meetings in Nisku, AB, approximately 1-2/month.
  • Attendance at workshops in locations across Alberta (exact locations TBD).

 

Other Information

  • This is a five-month contract position (February 1, 2018 to June 30, 2018).
  • Frequent travel required. A valid class 5 driver’s licence and access to a vehicle required.
  • You will need to provide proof of appropriate vehicle insurance for business use.
  • Evening and weekend work may be required during workshops (May-June).
  • This position will not have set work hours, but the successful applicant will be required to provide a certain level of responsiveness to the project, which will be determined with the successful applicant.
  • Weekly conference calls will be scheduled with the project managers to provide updates on work progress and provide support as needed.
